Store Documents

AccountBooks Online makes creating and managing your business documents quick and easy. The time of creating word documents and searching filing cabinet is over, now all your documents are stored in the cloud.

AccountBooks Online enables you to create, update and preview estimates, quotes, invoices and credit notes. To maintain solid paper trails, these documents cannot be deleted, instead you mark them as invalidated. This means that the document numbering always follows sequentially, in the case of our system document numbers always start at 1000 and increment from there.

Although not visible currently to you, all changes to documents are tracked in a revision log. So in the future you will be able to see the entire history of a document (and revert to a particular revision). Information includes the data that was changed, who changed it and when they did it.


Print Documents

As mentioned above, AccountBooks Online allows you to create documents. These documents can be previewed on an A4 sized layout and printed if required.

All documents follow a standardized, clean layout with related data grouped together. Sections are designed to break to a new page if they can not fit onto the previous page. This helps with readability, for example, a table is displayed on one page rather than being split across two. The only exception to this is when the item is larger than one page.


Track Expenses

Always checking that stack of expenses and trying to remember if you have paid them or not? AccountBooks Online allows you to enter them into the app and mark them as paid or not. Adding them into the system also enables it to calculate VAT returns for example.


Generate Reports

Reports are great at summarising information in a quick and simple form. AccountBooks Online currently includes a few reports with more on the way, these include a self ledger, invalidated items list and an expense list.

The self ledger report will take in a start and end date and then calculate the amount of VAT you need to pay or reclaim. The other two reports are quite self explanatory, the invalidated items list will again take a start and end date and return a list of invalidated documents. Finally, the expense list takes a start and end date and returns all the expenses in that period.

Currently in development is an invoice list report and also, functionality to send your VAT returns directly to HMRC via the new HMRC MTD (Making Tax Digital) services.


Add Multiple Users

AccountBooks Online has been built from the beginning to allow multiple people to be assigned to one company. These users are then assigned to a company role, be it one of the global system defined or custom company ones.

Each custom company role can be configured with set permissions, this allows a company to lock down areas of the system. The permission levels are currently: No access, Read only access and Read and write access. One application for this is to add an accountant role, this role could only have read access to see documents and reports, so they can view data but not modify it.


Customer and Suppliers

All documents are linked to either a customer or a supplier, AccountBooks Online allows you to store details such as name or company name, addresses, emails, phone numbers and email addresses.
